The Role:

As a Repairs Administration Officer, you can make your own powerful contribution to Westminster’s success. Working in the Housing and Commercial Partnership Directorate, you’ll support the Repairs Complaints Team with the organisation and follow-through needed to keep the service running well for residents.

You’ll provide day-to-day administrative support to the Complaints Manager and Complaints Officers, helping them respond to residents in a timely and professional way. This is a role where sensitivity and attention to detail really matter, as the information you manage will help the team respond to complaints.

A big part of your role will be keeping the team’s dashboard, inbox and active worksheets up to date. You’ll gather information from local surveyors, make sure it is detailed and accurate, and help keep things moving within target deadlines. If something looks like it could cause a delay or create a problem, you’ll help flag it early and work with the team to resolve it.

You’ll also help organise meetings, from booking rooms and sharing papers to preparing agendas and arranging hospitality where needed. You’ll attend team meetings, take notes and follow up on actions, making sure everyone is on the same page about what needs to happen next.

Alongside this, you’ll keep records accurate and well managed across the Repairs Complaints Service, using the right platforms and formats in line with information security policies. By staying organised, responsive and focused on quality, you’ll play an important role in helping the team deliver a better service for residents.

About You:

You’ll be used to supporting officers in a fast-paced workplace, where priorities can change quickly and deadlines matter. You’ll be comfortable managing inboxes, coordinating tasks and keeping the momentum going, while staying organised and paying close attention to detail.

You’ll be good at building relationships with everyone, whether that’s your colleagues, residents, or external customers. A sensitive and diplomatic approach will help you handle different conversations professionally, especially when things are sensitive.

Clear communication will be important in this role. You’ll be able to write and speak confidently, keep people informed and help influence or engage others where needed. You’ll also be quick to understand new information, think through options and suggest practical ideas when something needs improving.

You’ll also bring strong IT skills across Microsoft products, along with good organisation and time management. Most importantly, you’ll be someone who can stay calm under pressure, work well across different teams and support the delivery of equality and diversity through the way you work every day.
