Job summary

This role will sit in the Core Services team of the PSFA. This is the central cross-cutting team sitting at the heart of the PSFA in the broader office of the CEO. The role will be managed by the Head of Commissioning and Briefing and will sit alongside a HEO Private Secretary, HEO Drafting & Briefing Officer and an EO Executive Assistant, working with 2 Directors and 6 Deputy Directors. The PSFA has 3 committees: Executive Committee (Strategy), Executive Committee (Operations) and the Operations Committee.

This role will lead on the creation of the packs for the committees, will take the minutes at the meetings and ensure that all actions are recorded and followed up on in a timely manner.

This role will work closely with the ExCo to ensure that all published priorities are progressed and that there is accurate reporting of progress towards these deliverables shared with the Committee and where there are challenges to delivery these risks are flagged to the relevant Committee appropriately.

This role requires excellent stakeholder engagement, time management, written and oral communications skills and the ability to influence stakeholders.

Job description

Responsibilities

  • Managing and providing high-quality secretariat support to the three committees of the PSFA, including the practical arrangements for meetings;
  • Liaising with committee chairs to prepare agendas and commission briefs;
  • Creating a forward look of committee items for discussion throughout the year, ensuring alignment of activity across committees;
  • Drafting accurate and concise minutes within agreed timeframes;
  • Correctly recording actions from committees and following them up to ensure that issues raised are appropriately tracked and concluded;
  • Keeping oversight of all audit work and maintenance of the recommendations tracker to ensure all recommendations are implemented;
  • Leading on all staff events.

  • Excellent organisational skills, with the ability to work in an ambiguous and fast paced environment and to manage competing demands and deadlines;
  • Flexibility and resilience when responding to shifting priorities, change and challenge;
  • Excellent stakeholder management skills, with experience of communicating effectively and working collaboratively with a broad range of internal and external partners;
  • Strong communication skills, both written and oral;
  • The ability to be proactive, look ahead, anticipate issues, and drive forward work independently;
  • A willingness to travel nationally and work unsociable hours where required.

Additional information:

Cabinet Office policy is that a minimum 60% of your working time should be spent at your principal workplace. For some roles, due to their nature and the business need, this may be up to 100%.
