Job summary

This role sits within the Chief Security Officer’s Division as part of the Departmental Security Unit.

The Team Support Officer (TSO) provides a consistent, professional and customer-focused service, supporting the delivery of pre-employment checks and National Security Vetting (NSV).

Reporting to the Vetting Team Leader (EO), the postholder will manage a busy caseload, ensuring that work is effectively prioritised and progressed in a timely manner. The role requires strong customer service skills, excellent IT skills (a number of different IT systems are used as part of the vetting process) excellent attention to detail, and the ability to respond proactively to emerging issues.

Job description

The role supports a wide range of customers, including Welsh Government staff, contractors, arm’s length bodies, and external organisations (e.g. BT and Welsh Water).

As a customer-facing role, the postholder will work set service hours (for information the service is open 08:30–16:30) to ensure consistent coverage from across the vetting team. The role also requires a minimum of 40% office attendance. The team’s team day is Wednesday in our Cardiff office; the second office day is flexible and can be worked any other day and from any Welsh Government office location (if there is an office more convenient than your contracted office).

Person specification

Case Management

  • Initiate and process BPSS checks, including ID verification, Right to Work, and DBS checks.
  • Hold in person vetting appointments from a Welsh Government office to complete manual ID and Right to Work checks as required. Please note you may be asked to hold appointments on a day you do not usually attend the office if there is a business requirement.
  • Initiate National Security Vetting applications (DV, SC, CTC) for new applicants and renewals.
  • Complete Departmental Records Checks as part of the NSV process.
  • Produce vetting certificates and clearance letters in line with policy.
  • Escalate complex or high-risk cases to the Chief Security Officer or Deputy Chief Security Officer for decision.
  • Process dispensation requests and submit for appropriate approval.

Onboarding and Clearance Management

  • Support onboarding activities by confirming NSV clearance status, arranging transfers or sharing of clearance, or initiating new vetting applications as required.
  • Coordinate Change of Circumstances processes between clearance holders and UK Security Vetting (UKSV).
  • Process all leavers for staff and Welsh Government contractors (and leavers from external organisations where the UK Vetting Service must be notified).

Systems and Data Management

  • Maintain and update vetting tracking spreadsheets.
  • Ensure the Pobl system is accurately updated.

Team and Stakeholder Support

  • Ensure timely and professional responses to queries.
  • Provide a high standard of customer service, acting as a key point of contact for vetting-related queries across the organisation.
